The John Hansard Gallery’s private hire facility offers organisations, groups and departments the opportunity to hold private functions, meetings and launches in unique surroundings. Holding your function against the backdrop of one of our international exhibitions may help you to reflect and reinforce the values of the organisations, products and clients with whom you work. Alternatively, the unusual environment can help establish an atmosphere which inspires creative and original thought amongst your staff and other stakeholders. The Gallery is thus an ideal place to host anything from team meetings to hospitality events.

capacity

In accordance with Health and Safety regulations, the Gallery has capacity for 130 visitors within 3 adjoining galleries which, together, total more than 200m². The maximum capacity for the education and reading room is 40. However, please note that the Gallery’s dimensions and capacity fluctuate on an exhibition-by-exhibition basis according to the amount of work exhibited. Hire includes access to the Gallery’s kitchen within which some food preparation and refrigeration space is available. This means that the Gallery is really only suitable for the hosting of light buffets. Please note that hirers are responsible for the disposal of their rubbish and recycling.

exclusions

Regrettably, the Gallery is unable to offer an in-house catering service. Hirers are therefore free to select outside caterers or use the University’s catering services department. Similarly, the Gallery may be unable to meet all equipment demands. For this reason, hirers are responsible for supplying their own equipment (e.g. audio-visual aids, tables, chairs, coat racks, crockery, glasses, cutlery, banqueting roll, napkins, food preparation tools, waste disposal materials etc.). Much of these can be arranged through the University’s Audio Visual Presentation Services, Portering Services and Catering Services.

Hirers are respectfully reminded of the need for guests to be sympathetic to the Gallery environment and to be governed by the Gallery’s policy of providing access to contemporary visual art. For this reason, gallery hire is subject to the following terms and conditions.


terms and conditions

access

During opening hours, when the Gallery’s primary function is to provide the public with access to a programme of exhibitions, exclusive access to the Gallery by hirers is not possible. This is because the organisation’s funding is subject to the Gallery fulfilling this public role.

gallery environment

The Gallery’s activities, including the events it hosts, are governed by the loan agreements it enters into with the artists and collectors of the artworks displayed. It is therefore not usually practical for the Gallery to move artworks to accommodate items you may wish to display during your event.

To ensure hirer satisfaction and assist you in working within the confines of our exhibition space, it is strongly recommended that hirers arrange an accompanied viewing of the Gallery before they confirm their booking. During this viewing, the expected layout of the gallery space during your event can be discussed with you. hire period

Hire is subject to the Gallery’s exhibition programme and is not available during the changing of exhibitions (approximately 2 weeks in every 9 — please refer to our Forthcoming Exhibitions programme for details).

Hirers are required to allow time in their booking for setting up before and clearing away after their event. Hirers are responsible for disposing of their rubbish and taking away their empties. The hire fee will be calculated on the total time spent in the Gallery.

booking policy

Provisional bookings may be held for up to three calendar months, after which time the party for whom the Gallery is reserved must confirm its booking and secure it with a 25% deposit. Deposits and confirmed bookings must be tendered not less than one calendar month prior to the event itself.

cancellation policy

Confirmed bookings that are cancelled within one month of the hire date will be subject to a penalty of 25% of the total hire fee. This means that deposits will not be returned if your booking is cancelled within four weeks of the hire date.

In the unlikely event of an unavoidable programme change making it impractical for your event to be hosted on the date specified, the John Hansard Gallery reserves the right to offer you an alternative or cancel your booking. In this instance, the Gallery will seek to give you at least one month’s notice and will refund your deposit in full.


prices

  • Whole Gallery - To hire the whole gallery including gallery 1 & 2, education and reading room and use of the kitchen is £100 per hour for all University departments and £120 per hour for those external to the University.
  • Gallery 1 and Gallery 2 - To hire gallery 1 & 2 (the main gallery exhibiting space) is £60.00 per hour for internal departments and £80.00 per hour for external clients
  • Meeting/Education Room - To hire the reading and education room is £40.00 per hour for internal departments and £60.00 per hour for external clients

When making your booking, please remember to allow time to set up for and clear up after your event.

Payment can be arranged through an invoice and, for internal customers, by Inter Departmental Transfer.
